Terms & Conditions of Engagement | Rosscam Ltd
1. Booking & Rates
- Engagement: All day rates or project rates must be agreed upon in writing (via email) prior to the commencement of any work.
- Standard Working Day: The standard day rate is based on a 10-hour day (including a 1-hour lunch break). Alternative 8-hour or 12-hour days can be negotiated and agreed upon in writing prior to the shoot.
- Overtime: Any hours worked in excess of the agreed daily hours will be billed as overtime, charged in hourly increments at a rate of 1.5x the standard hourly rate (Daily Rate ÷ 10).
2. Breaks & Welfare
- Reasonable comfort breaks and a designated meal break must be provided during production or travel.
- In line with UK working guidelines, if a scheduled meal break is missed or shortened to less than 30 minutes due to production requirements, a Missed Break Fee equivalent to 1 hour of overtime will be added to the final invoice.
3. “Pencils” (Provisional Bookings) & Confirmations
- Provisional Bookings: A “pencil” is held as a courtesy and is not a confirmed booking.
- First Option Rule: If another client offers a firm booking for a pencilled date, Rosscam Ltd will contact the primary client. The primary client has 24 hours to either confirm the booking in writing or release the date.
- Automatic Confirmation: If a pencilled booking is not officially updated, withdrawn, or released by the client within 48 hours of the scheduled start time, it will automatically be deemed a Confirmed Booking, and standard cancellation terms will apply.
4. Cancellation Policy
Once a booking is confirmed in writing, the following cancellation fees apply:
- Cancellation 24 hours or less before the scheduled start time: 100% of the agreed day rate.
- Cancellation between 24 and 48 hours before the scheduled start time: 50% of the agreed day rate.
5. Travel & Mileage
- Standard mileage is charged at a minimum rate of 55p per mile calculated from our Bristol base.
- Alternative travel and mileage rates may be negotiated and agreed upon in writing for specific long-distance or multi-day projects.
6. Insurance, Public Liability & UAV (Drone) Operations
- Insurance: Camera equipment is fully insured for both UK and International deployment.
- Public Liability: Rosscam Ltd holds £10 million Public Liability Insurance. Copies of all insurance and annual CAA/drone compliance documentation can be provided upon request prior to the shoot.
- Airspace Permissions: Where complex or restrictive airspace permissions are required for UAV operations, an additional Administration Fee will be quoted and agreed upon with the client prior to application.
